Administrative Assistant

We are seeking a highly organized and dynamic Administrative Assistant to join our team. The ideal candidate will be adept at providing communication support, coordinating programs/events, managing schedules, and handling various administrative tasks. This role also requires a creative touch, with responsibilities that include developing marketing materials and creating engaging social media content. Key Responsibilities:

 

  • Communication Support: Manage email correspondence to ensure timely and professional communication with clients, partners, and team members.

 

  • Program/Event Coordination: Assist in the planning, organization, and execution of programs and events, including setup and coordination on the day of the event.

 

  • Scheduling Meetings: Coordinate meetings, including scheduling, sending reminders, and preparing necessary materials.

 

  • Proposal Development: Assist in developing comprehensive proposals to support business growth and client engagement.

 

  • Invoicing and Financial Management: Handle invoicing tasks and assist with financial record-keeping.

 

  • Website Management: Update and maintain the organization's website with current events, news, and content.

 

  • Service Agreements: Complete and manage service agreements with clients and partners.

  • Contracts and Insurance: The role involves meticulously reviewing contracts to ensure compliance and accuracy, as well as managing insurance matters.

 

  • Information Research: Conduct research to support projects, proposals, and strategy development.

 

  • Data Management: Organize and manage data, ensuring accuracy and accessibility.

 

  • Event Support: Provide on-site support during events, including coordination and setup.

 

  • Social Media Content Creation: Develop and publish engaging content across social media platforms.

 

  • Video Recording: Record events and create video content for marketing and archival purposes.

 

  • Mailing: Handle the mailing of books and other materials to clients or partners.

 

  • Procurement Assistance: Assist in ordering necessary items and managing inventory.

 

  • Marketing Material Development: Create visually appealing marketing materials to support promotional activities.

 

  • Event Sales Support: Assist with the sale of books/products during events, ensuring a smooth transaction process for customers.

 

Skills and Qualifications:

  • Bachelor’s degree in any field. 

  • Proven experience in administrative support, marketing, or a related field.

  •  Excellent written and verbal communication skills.

  •  Strong organizational and time-management abilities.

  •  Proficiency in digital tools and software for scheduling, data management, and design (e.g., MS Office, Adobe Creative Suite).

  •  Creative thinking with attention to detail in designing products and marketing materials.
